The challenge

Hair Health & Beauty has two WooCommerce websites, one for wholesale and the other for retail. They needed a way to maintain accurate inventory and pricing information on both online channels in near-real time, as well as streamline the raising of orders in their ERP.

The goals

• Sync stock levels from Sage to both websites
• Sync different price lists to each website
• Sync orders from the retail website into a default debtors account
• Sync orders from the wholesale website into each customer’s dedicated account on the ERP

The solutions

Stock2Shop gave Hair Health & Beauty control over which products were synced with their wholesale website, which were synced to their retail website and which were synced to both.

Orders placed on each website are then raised into Sage as sales documents.

Sync products

• Different price tiers from Evolution are sent to each WooCommerce web store.
• Stock2Shop created rules that dictated which products sync to each store.
• Products had already been created on the retail WooCommerce platform, so Stock2Shop enabled the auto-sync rule to update to products that already existed.
• As requested by Hair Health & Beauty, only price and stock level updates are synced to the websites without overwriting any other product fields.

Sync orders

• Order information is sent to Sage Evolution.
• Orders from the retail platform are raised into Sage Evolution as sales orders, while those from the wholesale platform are raised as quotes.
• Orders are only raised in Sage Evlolution if the status on WooCommerce is “processing” (paid).
